Set up people and processes before the workload grows

Map the recurring work

List new business, endorsements, billing questions, renewals, certificates, claims handoffs, and unresolved issues. Identify the owner and escalation path for each. Confirm which tasks require licensing or other authorization with the relevant authorities.

Document the handoff

Use a shared system to record the request, action taken, next step, and due date. Build a small set of checklists for high-frequency work. A colleague should be able to continue a file without relying on someone’s memory.

Hire for a defined responsibility

Write the outcomes you need from a role, the tools involved, and the training you will provide. Set a realistic onboarding sequence with supervised practice and regular feedback. Review employment arrangements with an appropriate advisor.

Protect service continuity

Plan coverage for absences and busy periods. Test how another team member retrieves records and identifies outstanding tasks. Keep access tied to responsibilities and update it when roles change.
