Bring your own demonstration script
Ask vendors to demonstrate a new client, a policy change, a renewal, and a staff handoff using fictional records. Have a service representative and an owner watch together. Can the next person understand what happened and what is due? Where are attachments, notes, and assigned tasks? For accounting functions, ask your bookkeeper to define the transactions and reports that must be demonstrated.
Plan the move before signing
Create an inventory of records, documents, and historical information you need to move. Ask for a sample conversion, a list of exclusions, and an explanation of how totals will be reconciled. Assign someone in the agency to check the results. Establish a training schedule and a plan for retrieving older records so daily service does not depend on one employee remembering the former system.
Compare the full operating commitment
Request pricing for setup, migration, training, support, integrations, storage, and additional users. Ask vendors to demonstrate permissions, sign-in protections, activity history, and export options rather than accepting a general assurance about security. Choose a system your team can run consistently, and assign an internal owner to maintain naming conventions and workflows after launch.
